Site owners
By default, you are a Site Owner of any Sites you create. You can add other owners/users, which will grant them the FULL ADMIN access to the site. Full admin access grants the users the ability to see and modify all settings. It gives access to all pages in the cloud ui, and access to all zencontrol mobile applications. This is unrestricted access and should only be given to a few privileged users. For normal users, where you would like to control their access, please add the user as a site member or tenancy member instead.
- Locate the Site on the Sites page.
- Click its thumbnail to visit its Dashboard.
- Click the Settings/Site Details link (represented by a gear icon) to change Site Settings.
- There will be a number of tabs across the top of this page. Click the Site Owners tab.
You will be shown a list of all the users with Owner access to the Site, including yourself.
The icon to the left of the user indicates what type of account they hold. These icons match up with the registration screen. These types can be personal, integrator or manager. For the differences between the account types, visit our FAQ on it.
- Click the Add Users row on this page (it will be the last row and may requires scrolling to the bottom). A dialog will appear.
- Use the search field in the Add owners dialog to choose the user you want to add.
You may search by the user's name, company or email (must match exactly). There is no need to click, or press Enter: the search results appear automatically, if successful. - Select the users you want to add, and they will be highlighted.
- Click the green Add Owners button at the bottom of the dialog.
The dialog will disappear and the newly-granted owners will appear in the Site Owners list.
IMPORTANT: The users will not be added until the save button is pressed.
You may add multiple users to the site before clicking save. - Click Save to apply changes.
To remove a user from a Site, the process is similar, except instead of clicking Add Users, you must click the cross icon in the Site Owners list and confirming the action. You may even remove yourself from a Site as long as you are not the last remaining user with access to that site.
Warning: If you remove yourself from this list, you will lose access to the Site.
Site members
If you don't want to give a user full access to your site then you can make them a site member instead. This will give you the ability to fine tune the user's permissions and feature visibilities. Adding a site member is almost the same as adding a site owner except there are two dropdowns that will dictate what permissions and feature visibilities the user will get when they are granted to your site. These can be changed after adding the user as well.
- Open the site details page, and navigate to the site members tab.
- Click the Add Users row on this page (it will be the last row and may requires scrolling to the bottom). A dialog will appear.
- Select the user's permissions by using the 'level of access to add' dropdown, as well as the feature visibilities for the user. Use the search field in the Add Members dialog to choose the user you want to add. You may search by the user's name, company or email (must match exactly). There is no need to click, or press Enter: the search results appear automatically, if successful.
- Click the green Add members button at the bottom of the dialog. The dialog will disappear and the newly-granted owners will appear in the Site Members list.
IMPORTANT: The users will not be added until the save button is pressed.
You may add multiple users to the site before clicking save. - Click Save to apply changes.
After adding a member to your site, you will see them in the list. You can edit their user type, permissions and feature visibilities by clicking on the row for that user. Clicking the pencil icon will bring up a dialog where you can change each setting.
Access to certain parts of the site
If you want to give the user more access to certain parts of your site you can click on the bottom row, select what part of the site you want to grant them access to and what level of access you want to give them. This means you can give them access to only certain control systems, device locations etc. without giving them access to the entirety of the site. A new row will appear for each explicit access that you give to the user. They can be removed by clicking the trash can icon.
For example, if you wish to give a user read access to only a single control system on the site.
- Open the users permissions by clicking on their row in the site members tab.
- Change the site permission to limited tenancy access (this gives the user a small subset of read permissions to floors, profiles and sites required to use most of the cloud ui)
- Click the plus icon at the bottom, and select control system from the first dropdown. Then select the control system you would like to grant access to (eg. chris desk), and the permissions you would like to give. Click the select button to add the permission.
IMPORTANT: The users permissions will not be modified until the save button is pressed.
- Click back and save to apply changes.
Tenancy members
Tenancy owners and members can be added and edited from the tenancy management ui. This is a simplified view that can be used to quickly assign a user to tenancy. Tenancy owners are similar to site owners, they get full access to all of the tenancy. Tenancy members permissions and feature visibilities can be quickly edited by selecting them in the table.
For more advanced tenancy permissions please use the site members ui and select tenancy from the user type dropdown.
Feature Visibility
Feature visibility controls what pages the user can see in the cloud and certain access to mobile applications. They can be configured for site or tenancy members. This is useful for stopping a user from accessing certain pages or features.
Note: If a user has write access to something, they can do it through any ui that supports it. ie. disabling grid-view will only stop a user configuring settings from the grid-view page. They can still configure these settings through plan view commissioning if they have that feature visibility, or even through the app if they that. The best way to restrict access if through user's permissions, as this will stop them from being able to change the setting from any ui.
Common options can be configured by selecting from the dropdown.
More advanced options, and the ability to see what each of the common options cover, can be done by going into expert mode, and expanding the collapsed section.
Each of the feature visibilities controls access to the sidebar tabs on the left of the screen, disabling the feature visibility will prevent the user from navigating to that page (or app feature).
For example a user with the following visibility
will only see limited options (note: only plan view and issues are enabled)
Options are as follows:
- Grid view - Access to grid view in sidebar
- Plan view - Access to plan view in sidebar
- Plan view commissioning - Access 'edit mode' in plan view (requires plan view)
- Commissioning application - Access to the android commission application
- Schedule application - Access to the android schedule application
- Home application - Access to the android home application
- Site settings - Access to site settings (site details) in sidebar
- Emergency reports - Access to emergency reports in sidebar
- Switch creator - Access to tools/switch creator in sidebar
- Tenancy management - Access to tenancy management in sidebar
- Schedules - Access to schedules in sidebar
- Issues dashboard - Access to issues in sidebar
- Power dashboard - Access to power in sidebar
- Alerts - Access to alerts in sidebar
User Permissions
Common options for user permissions can be selected from the dropdowns at each level.
The common options are as follows.
Name | Short Description | Detailed Decription |
View and Modify Access |
Ability to view information and modify access for others |
This permission is generally used for facility managers. It allows the user to revoke any permissions from another user, as well as assigning permissions to other users (note: the user must have the permission in order to grant it). |
Lighting Control Access |
Gives ability to control lighting and view everything except user access |
Use when you want the user to control the lighting, but not modify settings such as min/max. This is a cut down end user permission. note: The user will still get read access to everything, excluding other users permissions. |
Limited Access |
Ability to read the name only |
Only gives the user access to the sites name, useful for the home app in conjunction with control system access. |
View Access |
Ability to only view information |
Allows user to read everything at this level. ie. If granted to site, they can see all controllers, floors, ecgs, alerts, and everything etc. If granted to control system they will get read to only the ecgs, ecds device locations that are on that control system. |
Lighting control and View Access |
Gives ability to control lighting and view everything else |
Similar to `Lighting Control Access`, but also allows the user to see other users permissions. |
Limited Tenancy Access |
Ability to read details only |
Gives the smallest usable permissions to access the grid-view, gives read permissions to site details, floor, profiles, and crons. Normally used to give the user access to a particular control system, and allow them to configure it. This is the default permission for a tenancy user added through the tenancy member ui. |
Tenancy Access with Grant |
Ability to read tenancy details and modify access for others |
Same as `Limited Tenancy Access` but allows the user to also add other users to the site. |
Modify and Control Access |
Ability to modify settings and control devices |
Useful for commissioning agents, allows them to write all settings to the given level. Can be used for a particular control system, where they will get write access to all device locations, ecgs, ecds ect. that are on that control system. Can also be granted to the entire site. If granted to the entire site the user will have write access to everything on the site. note: this gives nearly owner level control to the site (if granted to the site), and should be given only to trusted users. |
To view what each permission covers please go into expert mode. For example, a user with limited tenancy Access only has the ability to
- view properties on the site
- view site profile crons (note: they cannot see tenancy crons, crons that are just for a tenancy)
- view profiles
- view floors
- view fitting types
Fine tuning permissions
If you need to fine tune a user's access even further then you can enable Expert mode from the top of this window. You will notice arrows to the right of the rows appear which indicate that the row can be expanded to edit permissions even further.
Expanding each row will display all of the possible permission options. Some will not be able to be edited because they will be applied as part of the template. Editing a permission will remove the permissions that cannot be edited as they will no longer be applied as you will be applying custom permissions for the user. Each permission controls different parts of the site and determines what a user can see or edit.
Permission name | Description |
Can claim control systems | The user is able to claim control systems on the part of the site selected. |
Can assign dashboards | The user is able to assign dashboards on portals for the part of the site selected. |
Can assign to portals | The user is able to assign dashboards to portals for the part of the site selected. |
Member permissions | The user is able to view and/or modify member permissions for the part of the site selected. |
Label | The user is able to view and/or modify the label of the part of the site selected. |
Information | The user is able to view and/or modify most properties of the part of the site selected. |
Lighting |
The user is able to view and/or control lighting functions or levels of ECGs of the part of the site selected. |
Scene assignment |
The user is able to view and/or control the assignment of scenes of the part of the site selected. |
State |
The user is able to view and/or control the state of ECDs of the part of the site selected. |
Metric and condition |
The user is able to view and/or modify the metric and condition of alerts for the part of the site selected. |
Battery states |
The user is able to view and/or modify the battery states for the part of the site selected. |
Everything else |
Any permission that does not fall into a category above will have the view and/or modify access dictated by this permission for the part of the site selected. |
In most cases you will not need to tinker with expert mode but the option is there for the small number of cases where you need to give a user specific permissions to particular things on the site rather than just blanket permissions on the site or a tenancy on the site.
User Type
Users can be either site or tenancy users. If a user is added through the tenancy management ui they will normally be a tenancy member. By default only site members are show in the site members ui. To see tenancy users select the 'Tenancy user' option. The permissions for that user can than be managed in the same way a site users permissions are managed.
